How to Set Up Call Forwarding for Your Small Business

A plain guide to call forwarding for small businesses — the difference between forwarding all calls and only the ones you miss, common carrier codes, and how to keep your number.

Call forwarding is the quiet workhorse behind never missing a call. Set it up once and the calls you can't get to go somewhere that can — a teammate, your cell, or an answering service — instead of to voicemail. This guide covers the two kinds of forwarding, how to turn it on, and how to keep your existing number while you do it.

The two kinds of forwarding (this is the important part)

Almost every "should I forward my calls?" question comes down to which of these you want:

  • Forward all calls (unconditional). Every call goes straight to the destination, bypassing your phone entirely. Use this when you want something else answering the line all the time — for example, an answering service as your main receptionist.
  • Forward only the calls you miss (conditional). Calls ring your phone first, and only roll to the destination if you're busy, don't answer after a few rings, or are unreachable. Use this when you still want to grab calls yourself when you can, with a safety net for the rest.

Most small businesses want conditional forwarding: answer what you can, catch the rest.

Note

"Forward when busy or unanswered" is the setup that lets an answering service act as your backup without taking over every call. It's the most common choice for owner-operators.

Turning it on

How you enable forwarding depends on your line.

Mobile phones

  • iPhone: Settings → Phone → Call Forwarding (this is unconditional "forward all"). For "only when I miss a call," you usually need carrier star codes or your carrier's app, since iOS doesn't expose conditional forwarding directly.
  • Android: Phone app → Settings → Calls → Call forwarding, where most phones let you set "Forward when busy," "when unanswered," and "when unreachable" separately.

Carrier star codes

Many carriers also use dial codes:

  • *72 + the destination number — turn on forwarding (often "forward all").
  • *73 — turn forwarding off.

The codes for conditional forwarding ("only when I don't answer") vary quite a bit by carrier, and some carriers only expose them through their app or support line. Check your carrier's instructions rather than guessing.

VoIP / business phone systems

If you use a VoIP provider (RingCentral, Google Voice, Grasshopper, etc.), forwarding lives in the admin settings — usually under "Call handling" or "Call rules," where you can route by time of day, ring order, and fallback destination.

Keeping your number

You don't have to give up your business number to use forwarding or an answering service. Two paths:

  1. Forward your existing number. Keep your number exactly as it is and forward some or all calls to the new destination. Nothing on your marketing, trucks, or Google listing changes.
  2. Use a new line as a dedicated number. Some businesses point a separate number at the service and keep their main line for themselves.

For most, option 1 is simplest: your number stays everywhere it already is, and the forwarding does the work behind the scenes.

Common mistakes to avoid

  • Forwarding all calls when you meant "only missed." If every call bypasses your phone, you lose the chance to answer the ones you could have taken. Double-check which mode you set.
  • Too many rings before forwarding. If calls ring six or seven times first, impatient callers hang up before the forward kicks in. Three to four rings is usually the sweet spot.
  • Forgetting to test it. Call your business number from another phone and confirm it lands where you expect, in both the "I answer" and "I don't answer" cases.
  • Not turning it back on. If you toggle forwarding off for a day, set a reminder to re-enable it.

Where the forwarded calls should go

Forwarding only helps if the destination actually answers well. Voicemail is the default, but most callers won't leave one. Routing forwarded calls to an AI receptionist instead means they get a real conversation, a booked appointment, or a proper message every time — nights and weekends included.
